Cottage Ownerships
A cottage ownership records which owners are associated with a cottage during a specific period. It links the cottage to one or more owner records. Each person or organisation has a separate owner record containing their name and contact details. See Owner Management to add or edit an owner record.
Viewing ownerships
- Navigate to Cottages and open a cottage.
- Select the Owners tab.
- Use the arrows to move between active and upcoming ownership periods.
Each period shows its dates, associated owners, whether each owner reports to HMRC, and the bank details recorded for that ownership. Click an owner's name to open their owner record. Expand Owner History to see previous ownership periods and their owners.
The tab displays a message if no ownerships are recorded. The Add action is available when there is no active ownership, including when an upcoming ownership is already scheduled.
Adding an ownership
- Open the cottage's Owners tab and click Add.
- Search for and select each owner to include. The owner must already have a record. If needed, create one first using Owner Management.
- Choose the ownership start date. If an upcoming ownership is scheduled, the new period must start before it begins; its end date is set automatically to the day before the upcoming period.
- Confirm the new ownership.
Editing an ownership
Upcoming ownership
- On the Owners tab, find the upcoming ownership and click Edit.
- Add owners by searching for their owner records. Remove any owners who should not be included in this period.
- Click Confirm.
This changes the owners for the upcoming period; it does not create a transfer or change the dates of the period.
Active ownership
- On the Owners tab, click Edit on the active ownership.
- Choose whether the change is a correction to the ownership record or a transfer.
No Transfer: apply the change to the whole period
Choose No Transfer for a correction or update that should apply across the entire ownership period. The existing ownership record is updated immediately; no new record or effective date is created. Added owners gain access to all bookings, compliance information, and payments for the period, including historical data. Removed owners lose access to that period's data, including information about past activity.
After choosing No Transfer, follow the steps under editing Upcoming ownership.
Transfer: split the period from a chosen date
Choose Transfer for a change that should apply from a specific date, such as an owner buying in or selling out. The system ends the existing period the day before the transfer date and creates a separate ownership record starting on that date. The old owners remain associated with the earlier period; the new owners are associated with the period from the transfer date onward. If the date is in the future, the new period is scheduled as an upcoming ownership.
You can choose whether compliance information is copied to the new period or left fresh. You can also choose whether to copy the existing bank details; selecting New Bank Details means those existing details are not copied by the transfer.
Use this when access and ownership history need to be separated from a particular date, while keeping the previous owners' access to the earlier period intact.
Quick decision
Should the change apply to the whole ownership period, including its history? Choose No Transfer. Should it apply only from a particular date while preserving the earlier period? Choose Transfer.
Completing a transfer
After choosing Transfer:
- Choose whether any current owners are staying. Select Add/Remove to existing Owners to keep and adjust the current list, or New Owners to replace it with a new list.
- Select the owners for the new period.
- Set the transfer date. It must be after the current ownership's start date and no later than its end date.
- Choose whether to transfer the existing compliance information or start with fresh compliance.
- Choose whether to transfer the existing bank details or use new bank details.
- Review the ownership dates, owners, compliance, and bank details, then confirm.
The transfer choices are required. Review them carefully: transferred compliance and bank details are carried into the new ownership; choosing fresh compliance or new bank details does not carry the existing information forward.
Note
Viewing ownerships requires cottage read access. Adding, editing, or transferring ownerships requires cottage edit access.
